Privacy: Juriview, Outlook and Microsoft 365

Who we are

Juriview publishes the legal management software of the same name. The application is available at jurivapp.com, the domain of the Juriview application. Contact: contact@juriview.com.

The Outlook add-in

The add-in asks Outlook for the narrowest permission that allows an email to be read: reading the selected email. It cannot read other emails in the mailbox, nor modify, send or delete anything.

• What it reads: the technical identifier of the selected email, its subject and sender, to find that email in Juriview.
• Only if you request matter suggestions: the subject, sender and beginning of the email text (up to 1,500 characters), sent to Juriview to find the closest requests.
• Actions in the pane (link an email, create a request, indicate relevance): they are recorded in Juriview. The add-in never writes to the mailbox; if the labels option is enabled for your organization, the link and relevance then appear as a label in Outlook (see “What Juriview writes to mailboxes”).
• Sign-in: it takes place in a Juriview window. No password is entered in the pane. The pane session is retained in Outlook storage on your device and closes through “Sign out”.

Connecting a Microsoft 365 mailbox to Juriview

For emails to arrive in Juriview, a user connects their mailbox from the application. Juriview then uses delegated permissions: it acts on behalf of that user and never accesses more than the user can see themselves.

Microsoft 365 permissions

In Juriview, emails from a personal mailbox are visible only to its owner. Emails from a connected shared mailbox are visible to the organization's Juriview users.

What Juriview writes to mailboxes

• The Outlook categories “Juriview”, “Juriview · Relevant” and “Juriview · Not relevant”, only if this option has been enabled for your organization, at its request. Categories you created are never modified.
• The read, archived or deleted state of an email, according to the mailbox synchronization settings. By default, “read” and “archived” are reflected in Outlook, while “deleted” is not; if enabled, it moves the email to Deleted Items.
• Emails sent, meetings created, modified or deleted, and responses to invitations, from Juriview and at the user's initiative.
• Juriview writes nothing else to mailboxes.

Hosting and security

• Juriview data is hosted in the European Union.
• Microsoft access tokens are encrypted in the database.
• Each organization's data is isolated through access rules enforced by the database itself.
• All exchanges use encrypted connections (https).

Artificial intelligence

Some features analyze email content: relevance sorting, request suggestions and the Clark assistant. They use artificial intelligence models from specialized providers. Upon request to Juriview, AI features can be disabled for your organization.

Sub-processors

• Hosting of the website, application and database (European Union).
• Microsoft: access to Microsoft 365 mailboxes and calendars.
• Artificial intelligence model providers: the features described above.
• Application technical error monitoring (European Union).

Remove access

• User: in Juriview, Mailbox, Mailbox settings, disconnect the Microsoft account.
• Administrator: in the Microsoft Entra admin center, Enterprise applications, open Juriview to remove granted permissions or delete the application. No new access is then possible; the current token expires within one hour.
