    What is matter management?

    A matter is a legal case: the elementary unit of work of a legal department or a law firm. Matter management covers the practices and tools used to open that matter, assign it a type, attach the people, documents, exchanges, deadlines and costs involved, then close it with a usable audit trail.

    The term originated in large Anglo-Saxon firms, where billing per matter required tracking every hour and every expense. It then moved to US legal departments, which use it to arbitrate between in-house handling and outsourcing. The scope is broad: litigation, contracts, corporate, advisory, compliance.

    The most common confusion is with legal document management. A DMS stores and classifies documents; a matter management tool structures an activity.     In practice a French legal department rarely needs pure case management: not all of its matters are procedural. It needs a cross-functional foundation where an internal request can become a contract and then a dispute without switching tools or losing history.

    • A single timeline — a matter is a story: opening, exchanges, decisions, documents filed, outcomes. Everything is timestamped and attributed, so a lawyer picking the file up two years later understands it in one read.
    • Matter types — an employment dispute, a share transfer and a T&Cs review share neither fields, stages nor controls. Each type carries its own templates, workflows and checklists, configurable without development.

    • Structured collaboration — internal messaging attached to the matter, named mentions, targeted notifications. Exchanges leave individual inboxes and become collective, auditable memory.
    • Context-aware generative AI — the assistant does not work in a vacuum: it reads the documents on file, summarises three months of exchanges, compares a clause to internal policy, drafts a memo. All in a closed loop over company data.
    • Consolidated reporting — volumes by practice area, entity and business unit, handling times, workload per lawyer, financial exposure. Board-level material in a few clicks instead of a day of spreadsheet rework.

    Why matter management is becoming unavoidable

    Three trends converge. First, volume: increasing litigation and regulatory inflation multiply the requests reaching legal, often from business teams unable to frame their own need. Second, reporting expectations: a legal department must now document its workload, its lead times and its exposure, or remain an illegible cost centre at budget time.

    Third, compliance: the data handled by legal is among the most sensitive in the company — HR data in an employment dispute, health data, trade secrets. Keeping it in a shared spreadsheet and personal mailboxes is no longer defensible under GDPR. Past roughly thirty open matters, the spreadsheet stops working: it does not notify, does not trace, cannot be audited and degrades silently. The tipping point is structural, not cultural. Legal ticketing captures the request upstream; matter management carries it through to closure.

    How to choose a matter management solution

    • Functional coverage — check that the tool genuinely supports your matter types: litigation, contracts, corporate, advisory, compliance. A contract-only tool will force you to open a second system.
    • Templates configurable without development — your matter types will change. If every new field goes through a billable vendor ticket, the real cost of the tool drifts.
    • Native AI integration — AI bolted onto a document repository is not the same as AI reading the matter context. Ask where the models are hosted and whether your data is reused for training.
    • Audit trail and evidential value — timestamping, versioning, access logs. That is what separates a convenience tool from an evidence tool.
    • Import made easy — migration from Excel, SharePoint or a network drive. Ask for a test migration on a real sample before signing.
    • Multilingual support — essential if foreign subsidiaries submit their own requests.
    • Hosting and data sovereignty — data location, subprocessors, reversibility. Require a written commitment, not a marketing claim.
    • Pricing model — price per user, cost of occasional users (business staff filing a request should not cost as much as a lawyer), onboarding fees.

    Does matter management replace contract lifecycle management (CLM)?

    No, it encompasses or complements it. CLM drives the life cycle of a contract, from request to expiry. Matter management drives every legal matter, contractual or not. In an integrated suite the contract is simply one matter type among others: you keep CLM capability without multiplying repositories.

    Should every matter type be deployed from day one?

    No, and doing so is the leading cause of project failure. Start with one or two high-volume types — routine contract requests, for instance — measure the lead times obtained, then extend. Progressive rollout builds adoption; a big-bang rollout imposes change nobody has time to absorb.

    How do you migrate existing matters stored in SharePoint?

    In two steps. Closed matters are archived as-is, readable but not reworked. Live matters are migrated through a structured import: metadata from a spreadsheet export, documents attached automatically by name or reference matching. Plan a quality-control phase on a sample before the full switch.

    Is matter management relevant for a team of three to five lawyers?

    Yes, provided the tool stays light. A small team suffers the same traceability gaps as a large one with less room to absorb them: one departure and the history of a matter disappears. What to avoid is a heavy suite requiring a dedicated administrator.
